1. Payment for your stay

1.1 Accepted payment methods

Only payments by bank cheque (made payable to Gîte des Tropes) or bank transfer are accepted. Bank details are given in the rental contract.

1.2 Payment terms

For every booking, a deposit of 30% of the total amount is required on the day of booking; it is cashed. Once the deposit is received, you will receive a confirmation email summarising the practical details of your stay. A booking is only effective once confirmed by our team and the deposit has been paid. The balance is due 60 days before your arrival. Please note: your booking option may be released if the deposit or balance is paid late. Any booking with no defined length must be paid at least 15 days in advance.

1.3 Security deposit

A security deposit of €3,000 is required for exclusive hire (by cheque, handed over when the keys are collected). Part of it may be withheld in the event of damage anywhere on the site, or if the gîte is returned dirty (€40 per hour of cleaning carried out by us). The deposit, or the remaining balance, is cancelled or destroyed (cheque) within 3 days of departure.

1.4 Documents required

To finalise your booking, please provide: proof of identity and a certificate of holiday-rental liability insurance (to be requested from your insurer).

2.4 Preparing for your stay

For special requests (baby cot, high chair, etc.), please notify us at least 24 hours in advance by text message or email. In the event of late arrival or last-minute cancellation of your arrival, you must inform us. Keys are handed over to you on arrival or are accessible in a key box. Arrival and departure information is sent to you on the morning of arrival. Keys are returned at the check-out inspection, which is set at least 24 hours in advance.

3. Cleanliness and cleaning

Waste

Household waste (accommodation and main hall) must be bagged and placed in the large black container. Plastic bottles, cardboard, tin cans and other recyclable waste go directly into the yellow containers, without a bag. Glass must be deposited in the container located in the car park near the Carnuta museum, in the village centre.

Crockery and kitchenware

The crockery and kitchenware provided must be washed, dried and put away in the cupboards. Time spent re-washing it is charged at €40 per hour.

Furniture

Tables and chairs must be cleared, cleaned and stored in the hall; additional tables and chairs must be put back in the cupboard provided for that purpose. The furniture of the hall and of the gîtes must not be used outdoors.

Cleanliness on departure

A vacuum cleaner is available in the electrical room. Please report any breakage or damage before your departure, in order to avoid a full or partial deduction from the deposit.

4. Capacity

The maximum number of people per accommodation unit must not be exceeded, for safety and insurance reasons. The total capacity is 48 beds; the maximum capacity of the hall is 80 people.

5. Rentals

Some photos are not contractual; for further details, please contact us by email.

The gîte reserves the right to withhold all or part of the deposit in the event of damage to the accommodation, its contents or equipment, or if cleaning has not been carried out on departure:

During your stay, we may need to show the site to other clients: you agree to at least one visit, even in the case of exclusive hire of the whole venue.

6. Delayed arrivals, early departures

Without a written message from the client stating that they have had to postpone their arrival, the accommodation becomes available again 12 hours after the arrival time stated in the contract, and full payment remains due. No reduction is granted in the event of delayed arrival or early departure. In the event of arrival after 7 pm, please notify us so that you can receive the access codes.

7. Promotions, last-minute sales

Prices may vary from one client to another for equivalent services. No refund of the difference may be claimed. Discounts cannot be combined with promotions.

8. Cancellation

By the gîte, before your arrival

In the event of force majeure, the management may cancel the stay for safety reasons. All sums paid will then be refunded to you in full, without any further compensation.

By you, before your arrival

In accordance with Article L.221-28 of the French Consumer Code, the right of withdrawal does not apply to accommodation services provided on a specified date. No refund is made by the establishment, whatever the reason, and the full amount stated in the contract remains due no later than 60 days before the stay. We advise you to take out cancellation insurance with an insurer of your choice.

Any cancellation must be notified in writing (email or letter).

9. Minors

Minors not accompanied by their parents are not accepted, except under certain conditions (parental authorisation).

10. Pets

Only one pet is permitted per booking, under your responsibility and kept on a lead. Access to children's play areas and to the swimming pool is prohibited for pets. Rate: €5 per day. Dogs of the 1st and 2nd categories are prohibited. An up-to-date health record must be presented on arrival. Picking up droppings is compulsory.

11. Valuables

The gîte is not liable in the event of theft (there is no safe).

12. House rules

Compliance with the rules is mandatory, on pain of termination of the contract and exclusion from the gîte. Respect for the peace and quiet of other clients and of the neighbourhood is mandatory.

13. Safety

To protect the environment and the safety of everyone, it is strictly forbidden to have barbecues or light fires on the site and near the forest: campfires, braziers, charcoal grills, etc. Any breach may result in the penalties provided for by prefectural order. Fires are prohibited in the fireplaces of the accommodation; only the fireplace of the main hall may be used.

Smoking is prohibited inside the buildings. Ashtrays are available outside; they must be emptied before departure and cigarette butts picked up. During the stay, all signage and posted safety instructions must be complied with.

14. Swimming pool

The swimming pool is strictly reserved for residents of Les Tropes. The pool is not supervised : swimming is at the sole risk and responsibility of adult residents, and the management accepts no liability in the event of an accident. Minors must be accompanied by an adult at all times; children remain the responsibility of their parents, even if they can swim. Everyone must close the safety gate after each passage. Particular care is requested around the pond.

15. Play areas

The play equipment must be used under the compulsory supervision of an adult, in compliance with the ages indicated: swing 2–8 years (maximum 2 children), slide 2–6 years (1 child), roundabout 3–10 years (4 children). Trampoline: one child at a time, prohibited for children under 6. The owner cannot be held liable for any incident if these conditions are not complied with.

16. Noise nuisance

The regulations limit the noise emergence to 5 dB(A) during the day (7 am – 10 pm) and 3 dB(A) at night (10 pm – 7 am). It is therefore strictly forbidden to play music outdoors after 10 pm, and setting up a DJ outdoors is prohibited.

19. Client's liability

The client is liable for all damage caused by themselves or by the persons accompanying them, anywhere on the site. The client undertakes to be covered by third-party liability insurance for the entire duration of the stay.

20. Personal data

Data collected at the time of booking is processed in accordance with our privacy policy.

21. Applicable law and disputes

These terms and conditions of sale are governed by French law. Failing an amicable agreement, any dispute falls within the jurisdiction of the competent courts; for professional clients, the Commercial Court of Le Mans has sole jurisdiction.
